What this website collects
When you send an enquiry, we collect the name, email address and message you provide, along with optional details such as your country, intended study level and consultation preferences. A subscription request records your email address and consent preference. Please do not submit sensitive identity, payment or account-login information.
How the information is used
Enquiry details are used to respond, assess the requested support and arrange services. Newsletter requests are kept separate from service enquiries; scholarship updates require separate subscription consent. The website does not sell personal information, collect payment-card details or enrol visitors into scholarship programmes.
Storage and service providers
Form records are stored in a private area of the website server accessible to authorised staff. The hosting provider and configured email service may process information needed to operate the website. If you choose a separate booking or payment provider, its privacy terms apply to the information you supply there. Our agency is based in Wyoming, United States; online services may involve processing in the United States and the locations of service providers.
Cookies and saved scholarships
Essential session cookies protect forms and administrator access. Scholarships you save are stored locally in your browser, not in a student account. You can remove them using “Clear saved scholarships” in the scholarship library or by clearing browser storage. This website build has no advertising trackers or analytics enabled by default.
How long information is kept
We keep enquiry and service records only as long as needed for the relevant relationship, legitimate business needs or applicable recordkeeping requirements. Unneeded enquiries and inactive subscription records should be periodically deleted. Exact retention periods depend on the service and any legal obligations that apply.
Questions, access and deletion
Use our contact form to ask about your information, request a correction or ask for deletion. We may need to verify your identity before acting. You can unsubscribe using the link included in a subscription email. Available rights and any limits depend on the applicable law.
Direct WhatsApp and email contact
WhatsApp links open an external messaging service. You choose whether to send the prefilled message; clicking a link does not automatically submit a message. WhatsApp and your email provider process information under their own terms. Contact support@scholarlycircle.com for questions about information held by Scholarly Circle. Do not share passwords, payment details or identity documents through an initial chat.
Scholarship Finder and optional AI search
Directory matching runs in your browser. The finder does not save a profile, ask for identity documents or submit a scholarship application. Its filters identify potential leads, not confirmed eligibility or admission probabilities.
When live AI search is enabled, it is an optional mode. With your explicit consent, the academic profile fields you enter are sent through our server to OpenAI for web-assisted research. Search queries derived from these fields may be processed by search providers. Do not enter names, contact details, passport numbers, private documents, medical information or other sensitive personal information in the profile fields. The website does not persist these profile requests or results; it stores limited security and aggregate usage counters. Hosting and API providers may maintain their own operational or abuse-monitoring logs.
We request no stored response state from the API, but this is not a promise of zero retention by the provider. OpenAI’s applicable data controls and terms govern its processing. You can use directory matching without consenting to AI processing. Starting an AI request sends the data; cancelling afterwards cannot recall data already transmitted. A WhatsApp follow-up opens a draft that you choose whether to send, and adding your profile summary is optional.
